Facilities Improvements

 

The Facilities Planning Department’s primary role is to construct the university’s facilities to support the academic and research mission of the university.  It is essential that all new construction on campus by any entity, including additions, renovations, or modifications to existing facilities or grounds, be processed through Facilities Planning to ensure required permits are in place, that work conforms to UCF Standards, and that as-built conditions are properly documented. When requesting services to modify existing buildings or facilities with anticipated costs below $1 million, a Facilities Improvements (FI) Request must be submitted.  The FI Request outlines the general scope of work to be performed and documents funding sources and approvals.  All FI Requests are reviewed for long-term university implications prior to being approved or denied.

 

To Initiate a Facilities Improvements (FI) Request:

The requester must complete the top section of the FI Request Preliminary Review Form which is then forwarded via email to obtain approval levels as follows:  Chair or Unit Head, then Dean or Director, and finally the UCF Office of Space Planning, Analysis & Administration (SPAA) committee.  Completed forms can be emailed directly to the SPAA committee at:

SPAA will evaluate the overall, long-term implications of the project.  If SPAA does not approve the project the form will be returned to the Dean or Director indicating that it has been denied.  If the project is approved by SPAA it will then be forwarded to Facilities Planning's FI group.  When the FI unit receives a SPAA-approved project request it will be reviewed by FI to determine whether it is a Facilities Improvement or Work Order and distribute appropriately.  A Project Manager will then schedule a meeting with the client and design/build team to obtain more detailed information about the project including preliminary cost and schedule.  Request that alter building exteriors or grounds also require University Master Planning Committee approval.

 

Facilities Planning will not be able to process requests for building modifications unless they are first received from SPAA using this procedure and the associated form.  Subsequent changes in scope will also require SPAA approval.  Design and construction may not begin until all approvals have been obtained and funding is on deposit in a Facilities Planning-controlled project account (via interdepartmental transfer).
